Pavilions
New this year, the AFCI will be offering personal Pavilions adjacent to the show floor, which may be reserved in half or full day increments, throughout the three days of Locations Show. These special rooms are a powerful opportunity to host invite-only sessions, panels, networking mixers, or to publicly showcase a location, service or product on a grand scale. The Pavilions are available in various sizes and are discounted greatly to booth-holders, and can accommodate between 40 and 350 people, depending on the space and style of seating selected. Food and beverage is provided, if desired, from soda and snacks to full meals and cocktails.
Private Pavilions are an opportunity to create the environment and presentation unique to your location, brand, service, or project that may be limited by a traditional 10' x 10' exhibit space. They are the ideal way to host open or invite-only sessions, roundtables, presentations, meetings, lounges and mixers (see restrictions).
Pavilions can accomodate between 24 and 350 people, depending on room size and the seating and reception style selected. Rooms can be reserved in increments of half-days, full days or for the entire Show. You will likely not need audio assistance in these rooms, but we can arrange for microphones, flat screens, projection capabilities, etc., for an additional fee.
SMALL: Accomodates 24 - 110 people, depending on room set-up, and includes one light food and beverage service for 30, per day
MEDIUM: Accomodates 48 - 150 people, depending on room set-up, and includes one light food and beverage service for 60, per day
LARGE: Accomodates 70 - 300 people, depending on room set-up, and includes one light food and beverage service for 100, per day

Pavilion hosts are invited to be unique and inventive in their space, however, there are several non-negotiable restictions to consider:
1) No programming may conflict with, compete with or replicate Locations Show programming on the same day. (For instance, if the AFCI hosts a session about how to pitch a drama for cable, a Pavilion host may not hold a session on how to pitch a sitcom for cable, or how to write a sitcom for cable, etc. Your session may in no way compete with an AFCI session held on the same day.)
a) All sessions and speakers in the Pavilions must be approved by the AFCI. The Pavilion host will be responsible for canceling any sessions or speakers the AFCI deem to be conflicting.
b) All costs and fees associated with the speakers are the responsibility of the group renting the Pavilion
2) No exhibitor in a Pavilion may host a general financial incentives-related seminar. If you would like to host one specific to your region, the parameters, date and time must first be approved by the AFCI.
3) Pavilions may be used only by the entity by which it is reserved unless prior approval is received from Amy Thompson
4) Catering, including wine and beer, must be coordinated through the AFCI. Due to Hyatt Regency Century Plaza regulations, outside food or catering is not allowed.
